I’m fresh off a Disney World trip with 10 adults for my 35th birthday, and let me tell you – coordinating flights, hotels, dining reservations, budgets, transportation, and everyone’s Disney priorities takes WORK.
And I loved every second of it!
This trip had been in the works for YEARS. Literally.
On my 30th birthday, I announced to all my friends that for my 35th birthday I wanted to go to Disney World. And every birthday after that, I reminded everyone hahaha.
Five years later, I finally sent out the invitations.
Most of my friends are not hardcore Disney adults like me, but they do love a good Disney day, good food, fun rides, and a chaotic group vacation moment. So I was hopeful people would actually commit.
And somehow… we ended up with a group of 10 adults going to Disney World together.
It ended up being one of my favorite trips ever.
But there were definitely things that helped make the trip smoother, less stressful, and way more manageable for everyone involved.

Planning a normal Disney trip is already a lot.
Now add:
- different budgets
- different food preferences
- different ride priorities
- transportation logistics
- multiple sleep schedules
- large dining reservations
- and adult exhaustion levels hahaha
And suddenly things get complicated FAST.
Especially at Walt Disney World where the parks are huge, transportation takes time, and everyone has different priorities for what they want to experience.
The biggest thing I learned?
Communication and flexibility matter WAY more than having a “perfect” itinerary.
Start Planning Earlier Than You Think
How Far in Advance Should You Plan a Group Disney Trip?
We started planning this trip about 8 months in advance.
Honestly, I would recommend even earlier if:
- your group is larger
- you’re traveling during holidays
- you want specific hotels
- you’re trying to coordinate flights
- you want dining reservations
One thing that helped us a LOT was choosing the date before sending invitations.
That eliminated endless back-and-forth conversations.
I also included:
- estimated costs
- rough itinerary ideas
- hotel expectations
- park ticket pricing
right from the beginning so nobody was shocked later.
Especially with adult group trips, people need time to:
- budget
- request time off
- plan childcare
- coordinate with partners

One person needs to take the lead on planning.
Not in a controlling way. Just in an organizational way.
Trying to have 10 people make every single decision together gets overwhelming VERY quickly.
For our trip, I handled:

Originally, I went FULL Disney hotel research mode hahaha.
I checked prices for basically every Disney resort and quickly realized even the affordable options would still end up being expensive for a long group stay.
Especially when you’re paying:
- hotel costs
- flights
- park tickets
- food
- transportation
- souvenirs
- Lightning Lane
It adds up FAST.
That’s when I started seriously looking at house rentals.
Why We Chose Margaritaville Resort Orlando
About a year and a half before the trip, I toured the Margaritaville Cottages near Disney World while we were visiting for a RunDisney race.
And honestly? Once I compared the math, it was a no-brainer.
We booked:
- an 8-bedroom cottage
- 10 bathrooms
- private pool
- space for 16 adults
for around $85 per person per night.
INSANE.
Especially compared to booking multiple Disney hotel rooms.
And having a giant shared house made the trip feel so much more special. Everyone had space to spread out while still getting that fun group-trip energy.
We had:
- late-night chats

- recovery ramen moments hahaha
It ended up being one of the best parts of the trip.

Transportation Gets Complicated With Big Groups
If you’re staying on Disney property, Disney transportation makes things MUCH easier.
But since we stayed off property, we mostly relied on Uber and Lyft.
Morning transportation was easy.
Late-night transportation after fireworks?
Absolute chaos hahaha.
Calling multiple rideshares for a group of 10 exhausted adults after a full Disney day was… an experience.
What I’d Do Differently Next Time
For our next trip, I would probably rent a large van next time.
Especially because large groups inevitably want to:
- run errands
- stop at Target
- grab groceries
- split up occasionally
- leave parks at different times
Having a dedicated vehicle would’ve made things much more flexible.
Disney transportation can seriously affect your energy levels too.

By the end of the trip we had:

We didn’t start using SplitWise until a couple days into the trip and immediately regretted not starting earlier.

Instead of constantly Venmo-ing each other for:

One of my favorite purchases for the trip was the Disney Food Blog snack guides.
We all went through:
- snacks
- quick-service meals
- desserts
- drinks
ahead of time and picked our priorities.
It helped us organize our park days WAY better because everyone knew what they wanted for afternoon snacks and lunch.
If we had a TRON reservation in Tomorrowland, we’d also plan nearby snacks or quick-service meals around the same timeframe.
Disney food planning may sound dramatic… but it genuinely saves time and prevents hanger-induced meltdowns hahaha.
Big group dining reservations matter MORE than you think.
One of our favorite meals of the trip was brunch at Chef Art Smith’s Homecomin’ at Disney Springs. I shared everything we ordered, what was worth it, and why it ended up being one of our favorite Disney meals.
Don’t Try to Stay Together All Day
Splitting Up Is Completely Normal
This is probably the BEST group Disney advice I can give.
Do NOT force everyone to stay together every second of the day.
Large groups move slower. People get tired.Some people want rides. Others want snacks. Some want shopping. Others want air conditioning immediately hahaha.
And that’s okay!
Our group split up multiple times throughout the trip, but we always:
- stayed in communication
- shared locations
- created meeting points
- regrouped later
Usually at our next Lightning Lane reservation.
And that flexibility made the trip way less stressful.
Build Breaks Into Your Disney Days
Midday Breaks Matter
Especially in Florida heat.
The BEST thing we did was allow space for:
- rest
- pool time
- hydration
- slower mornings
- snack breaks
Trying to aggressively maximize every second of Disney with a large group is a recipe for adult meltdowns hahaha.
Some people in our group headed back early some nights while others stayed later.
And that balance worked really well.
Disney World in the summer gets HOT.
Here’s everything I packed for hot Disney days, including cooling towels, portable fans, electrolyte packets, and the little things that genuinely helped us survive the Florida heat.
Make a List of Disney Priorities Before Your Trip
One thing that helped our group trip go surprisingly smoothly was talking ahead of time about everyone’s top priorities for the parks.
This made SUCH a difference.
Before the trip, we chatted about:
- top rides
- must-see shows
- snacks we wanted to try
- restaurants
- shopping stops
- character experiences
- things people absolutely did not want to miss
We also used the My Disney Experience app throughout the trip to check what food and mobile order options were available nearby in real time, which helped a ton when everyone suddenly got hungry at the same time hahaha.
Our group personally wasn’t super focused on character meet-and-greets, so that naturally moved lower on the priority list. But one of our friends really wanted to see a specific show, so we made sure to build that into the day.
I think this is one of the biggest things that helps large Disney group trips feel successful – making sure everyone gets at least a few things that feel exciting or important to them.
Because when you’re traveling with a big group, everyone is going to have different Disney priorities.
The key is finding a balance.
The only reason we were able to accomplish as much as we did was because we Rope Dropped the parks and used Genie+ strategically throughout the day. Without those two things, we definitely wouldn’t have covered nearly as much ground.
Dining reservations also matter WAY more with large groups.
We planned one big brunch during our trip and I booked it exactly 60 days in advance because finding reservations for a large party can get difficult really quickly at Disney World.
Even at quick-service restaurants, finding seating together was harder than we expected. A few times we had to split between nearby tables because there simply wasn’t enough space for all 10 of us together.
My biggest advice?
Plan ahead, prioritize what matters most to your group, and accept that you probably won’t do absolutely everything. That flexibility helped our trip feel way less stressful and a lot more fun.
What I’d Do Differently Next Time
Even though the trip went surprisingly well. I still have a few changes I’d make.
Next time I would:
- rent a large van
- create more flexible park plans
Because some of the best moments ended up being:
- random snack stops
- late-night conversations
- exhausted group laughs
- pool hangs
- everyone collapsing after long Disney days hahaha
Not necessarily the perfectly planned moments.

There’s something really fun about experiencing Disney with a huge group of people you love – even with all the chaos, planning spreadsheets, group chats, ride negotiations, and exhausted nighttime walks back to transportation hahaha.
The biggest thing I learned is that flexibility matters way more than perfection.
Communicate clearly, plan ahead, build in breaks, stay hydrated – and let people enjoy Disney in their own way.
Because at the end of the day, the best Disney memories usually come from the unexpected little moments anyway.
